Booking Policy for Relax Hotel Paleochora

These Booking Terms and Conditions apply to reservations made directly with Relax Hotel through our website, by email, by telephone, or through any direct booking or payment link sent by Relax Hotel.
By completing a booking, paying a deposit, or confirming acceptance of a written offer by email, the guest confirms that they have read and accepted the accommodation offer, the quoted rate, the payment policy, the cancellation policy, the Privacy Policy, and these Booking Terms and Conditions.
1. Booking Confirmation
A reservation is confirmed only when the required deposit or prepayment has been received and Relax Hotel has sent written confirmation of the reservation.
A written offer sent by Relax Hotel does not reserve availability permanently. Availability is not held or guaranteed until the reservation has been confirmed.
Relax Hotel reserves the right to release availability if the required deposit or prepayment is not completed within the time period stated in the offer or payment request.
2. Accommodation Rates and Total Price
The valid accommodation rate is the rate stated in the written offer, booking summary, or reservation confirmation provided by Relax Hotel.
Rates are shown per room, per night, unless stated otherwise.
The total accommodation amount depends on the room type, dates of stay, number of nights, number of guests, meal plan, and any additional services requested.
Any applicable government taxes, climate resilience fees, municipal taxes, or other mandatory charges are stated separately where required and may not be included in the accommodation rate unless explicitly mentioned.
3. Accepted Offer and System-Generated Payment Information
The binding accommodation price is the price stated in the written offer sent by Relax Hotel and accepted by the guest in writing, or the price shown in the final booking summary accepted by the guest during online booking.
Automated payment links, deposit requests, payment notifications, or system-generated reservation emails are issued for payment processing and administrative purposes.
They do not constitute a new offer and do not amend, reduce, or replace the agreed reservation price, unless Relax Hotel expressly confirms such a change in writing.
If an automated email, payment link, payment request, or reservation system entry contains an obvious typographical, calculation, input, or technical error, the written offer or final booking summary accepted by the guest remains the valid basis of the reservation.
Relax Hotel will correct the error and inform the guest in writing as soon as the error is identified.
4. Deposit and Payment Policy
A deposit of 30% of the total accommodation amount is required to confirm the reservation, unless stated otherwise in the written offer, booking summary, or reservation confirmation.
The remaining balance is payable upon arrival at the hotel, unless different payment terms have been agreed in writing.
Accepted payment methods may include bank transfer, credit or debit card, secure payment link, or online payment through the hotel website.
Any bank charges, transfer fees, or payment provider charges are the responsibility of the guest, unless stated otherwise.
5. Cancellation Policy
Guests may cancel their reservation free of charge up to 40 days before the scheduled arrival date.
For cancellations made less than 40 days before the scheduled arrival date, the cancellation fee is equal to the required reservation deposit, which is 30% of the total accommodation amount.
If the guest has already paid the deposit, the deposit will be kept as the cancellation fee.
If a reservation is made within 40 days of the scheduled arrival date, free cancellation is no longer available after booking confirmation, and the deposit is non-refundable.
In case of no-show, the no-show fee is equal to the required reservation deposit, which is 30% of the total accommodation amount.
Any refund, where applicable, will be returned through the original payment method where possible. Bank charges, card fees, or payment provider fees may be deducted if they are not returned by the bank or payment provider.
6. Reservation Changes
Any request to change reservation dates, room type, number of guests, length of stay, or other booking details is subject to availability.
Changes may result in a price difference.
A reservation change is valid only after it has been confirmed in writing by Relax Hotel.
7. Room Allocation and Guest Requests
Room allocation is subject to availability.
Relax Hotel will make reasonable efforts to accommodate guest preferences, such as room location, floor, view, or specific room number, but these requests cannot be guaranteed unless explicitly confirmed in writing.
The hotel reserves the right to allocate an equivalent room of the same booked room type if operationally necessary.
8. Occupancy and Additional Guests
Each room type has a maximum occupancy limit.
The number of guests must not exceed the maximum occupancy stated for the booked room type.
Rates are based on the number of guests stated in the written offer, booking summary, or reservation confirmation.
If additional guests are added to the reservation, extra charges may apply according to the hotel’s current pricing policy or the terms stated in the written offer.
9. Check-In and Check-Out Policy
- Check-in time: 15:00
- Check-out time: 11:00
Early check-in and late check-out are subject to availability, may include an additional charge, and must first be confirmed by our staff.
10. Hotel Services and Housekeeping
Unless stated otherwise, housekeeping services are provided according to the hotel’s current housekeeping policy.
- Daily room cleaning is provided.
- Fresh towels are provided every two nights.
- Fresh bed linen is provided every three nights.
Some room types may not include a kitchenette. Guests should check the room description before confirming the reservation.
11. Guest Responsibility
Guests are responsible for providing accurate booking details, including name, contact information, arrival and departure dates, number of guests, and any special requests.
Guests are responsible for checking the booking details, accommodation rate, total price, payment amount, cancellation policy, and arrival information before confirming the reservation or completing payment.
Guests must inform Relax Hotel as soon as possible if they notice any incorrect information in the booking details or payment request.
12. Force Majeure and Exceptional Circumstances
Relax Hotel shall not be responsible for failure or delay in providing services caused by events outside the hotel’s reasonable control.
Such events may include natural disasters, extreme weather, fire, flood, government restrictions, public health emergencies, strikes, utility failures, transport disruption, or any other exceptional circumstance beyond the hotel’s control.
In such cases, Relax Hotel will make reasonable efforts to assist the guest and offer an appropriate solution where possible.
13. Privacy Policy
Guest personal data is processed according to the hotel’s Privacy Policy.
By completing a reservation, paying a deposit, or confirming acceptance of an offer, the guest also confirms acceptance of the hotel’s Privacy Policy.
